Position Vacant – Office Administrator, Shenzhen Sub-Chamber office

November 2005

The British Chamber of Commerce Guangdong ("BCC") is seeking an Office Administrator to begin work in our new Shenzhen office as soon as possible.

Background

With over 120 members in Guangdong (101 Members in Guangzhou and 26 Members in Shenzhen), the BCC is one of the largest and most active foreign chambers of commerce operating in Guangdong. The BCC's role is to promote and foster close business ties between Guangdong Province and the UK through (i) providing a forum where members can meet and share experiences of doing business in Guangdong and China, (ii) organising regular social and business events, (iii) working in conjunction with the British Consulate General Guangzhou and other official government bodies in relation to trade missions, high-level visits, seminars and other business functions, (iv) publish a bi-monthly magazine the "Chamber Eye" and (v) developing links with government authorities, other chambers of commerce and businesses in Guangdong and elsewhere.

The BCC's main office is on the 17 th floor of the GITIC Office Tower in Guangzhou and has a full-time Executive Manager and two other full-time staff.

Our Shenzhen Sub-Chamber is now in the process of opening a new office in Shenzhen and requires one full-time member of staff who will be responsible for running the BCC operations in Shenzhen; principally to support the BCC's Shenzhen members and activities.

The Role of Office Administrator

The Office Administrator shall be responsible for the day-to-day running of the BCC Shenzhen Sub-Chamber office. Reporting to the BCC Committee (principally the Chamber Chairman and the Shenzhen Sub-Chamber Chairman) and the BCC's Executive Manager (who is based in Guangzhou), the Shenzhen Office Administrator's duties shall include:

• Handling of all telephone calls and emails to the Sub-Chamber office; referring to the Sub-Chamber Chairman and Guangzhou office where appropriate
• Coordinate with hotels and restaurants for all Shenzhen Sub-Chamber events
• Event preparation and management – send out email flyers and faxes to BCC Shenzhen Members and Friends, compile list of delegates for each event, manage payments from delegates ‘on the door' of the event, liaise with the Chairman and Executive Manager in Guangzhou with event progress updates
• Update information of members to the BCC Business Development Manager
• Update contacts in our email Address Book
• Keep petty cash records
• Maintain petty cash and update the financial report to the treasurer weekly and monthly
• Manage the BCC Privilege Club for all Shenzhen participating outlets
• Pay utilities bills for the Shenzhen office on time
• Receive walk-in visits from Members and potential Members and explain Membership benefits

The Successful Candidate

The successful candidate should possess excellent written and spoken English and Chinese language skills and should ideally:-

(a) Have a university degree;
(b) Have some experience in administration - preferably in an international organisation;
© Have some experience in marketing or business development experience;
(d) Be able to work independently (as sole member of staff);
(e) Be self-motivated and possess the confidence to deal with business people;
(f) Have good office computer skills;
(g) Be enthusiastic and outgoing, with an excellent phone manner; and
(h) Be well organised and systematic.
